Step 1: Access to Google Workspace Marketplace and install “AI Data Extract”

  1. Log in to your Google Workspace account.
  2. Click on the App Launcher Icon in the top right corner of the screen > “More from Google Workspace Marketplace”

  3. Type “AI Data Extract” into the search bar > Click Install.

    * Administrators have the option to deploy this application across the entire organization or limit its use to their personal account.

Step 2: Open AI Data Extract in Google Sheets.

In Google Sheets, go to Extensions > AI Data Extract > Show Admin Sidebar. The AI Data Extract sidebar will appear on the right.

New to AI Data Extract? Follow the simple steps under “First-time Use” to get started. After that, you can skip the tutorial and jump right into “Start Using AI Data Extract”.

  1. Once you see the pop-up asking you to “Authorize”, go ahead and click it. After that, you’ll see a message saying “Authorization successful”. You can then close this window and reopen AI Data Extract.

  2. Once you return to AI Data Extract, you will see the following screen. Please click “OK”.

Let’s get started with AI Data Extract!

Click on “QUICK START” on the right side of the screen.

Step 3: Input file type and column names

Fill in the desired file title and project name.

Enter the data types and items to be captured by AI Data Extract.

  • Identify Document Type: Input the document type you want AI to process (example: resume, business card and invoice). The content you input here will be used as the name of the output spreadsheet. If you need to process multiple document types, it is recommended to create a separate Workflow for each type.
  • Customize Extraction: Input the item names you want to extract (example: Name, Phone Number and Email). You can add more columns by clicking “ADD NEW COLUMN”. Once completed, click “SAVE”.
  • *You can input the item name in other languages besides English, such as Chinese, Japanese, etc.

Step 4: Preparation to upload your files

In a moment, you’ll see options for “Google Drive folder” and “Spreadsheet”. A new folder will pop up in your Google Drive. Click “OPEN” and you’ll see two folders inside: “archive_file” and “error_file”.

Step 5: Upload the file

Upload the files you want to process to the newly created folder. The AI will automatically read the files in the folder.

Step 6: Run file extraction

Once the file upload is complete, please return to the spreadsheet and click “RUN NOW” to start the extraction process.

Step 7: Open the output spreadsheet

  1. Once you see “Processing…”, just click “OK”.
  2. Click “OPEN” on the Spreadsheet to open the input data
  3. It is important to note that the AI may occasionally encounter discrepancies during the data ingestion process. Users are therefore advised to conduct a thorough review of the processed data and make the necessary amendments. Files that cannot be successfully processed will be automatically segregated into the designated “error_file” folder.
